Setting up your first property in LotKeeper

Create your organization
Every LotKeeper account starts with an organization. This is the top-level container that holds all of your properties, team members, financial data, and settings. If you manage parks under a single company name, create one organization for that company. If you operate multiple entities (for example, separate LLCs per park), you can create one organization per entity.
After signing up, you will be prompted to name your organization and choose your vertical (Manufactured Home Park, Multifamily, or Other). Select "Manufactured Home Park" to unlock MHP-specific features like lot rent tracking, home ownership type fields, and community rules templates.
Add your first property
Navigate to Properties in the sidebar and click "Add Property." Enter the property name, full address, and the number of lots or units. LotKeeper will create individual lot records for you automatically. You can rename them later to match your site map (for example, Lot 1A, Lot 1B, Lot 2).
If you have more than one park, repeat this step for each property. All properties share the same organization-level settings, chart of accounts, and team permissions.
Configure your lots and units
Open each lot to set its details: lot size, pad type, utility configuration (sub-metered, RUBS, or flat fee), and whether the home is park-owned or tenant-owned. These fields drive utility billing calculations and reporting, so it is worth filling them in now rather than later.

- Utility configuration determines how water, sewer, electric, and trash charges are calculated each month.
- Home ownership type (POH vs. TOH) controls which financial reports include that lot and how revenue is categorized.
Invite your team
Go to Settings, then Team Members, and click "Invite." Enter their email address and assign a role. Owners get full access. You can also create custom permission sets that limit access to specific features (for example, maintenance-only or accounting-only). Each team member receives an email invitation with a link to create their account.
Set up rent schedules
Before you can generate invoices, each occupied lot needs an active lease with a rent amount. Create a lease from the tenant's profile or from the lot detail page. Set the monthly rent, lease start date, and any recurring charges (pet fees, storage fees, utility flat rates). LotKeeper uses these lease terms to automatically generate invoices each month.
Generate your first invoices
Invoices generate automatically on the 1st of each month based on active leases. If you are starting mid-month, you can trigger a manual invoice run from Financials. LotKeeper prorates charges automatically when a lease starts or ends partway through a billing period. Once invoices are generated, residents can view and pay them through the tenant portal or via a guest payment link.
You can preview invoices before they go live. Navigate to Financials, select the upcoming billing period, and review the draft invoices. Make any adjustments before confirming.
